Bay PianoFest Cancellation Policy & Refunds
All cancellations must be submitted in writing via email. Phone calls or voice messages will not be accepted as official cancellation notices.
If Bay PianoFest cancels the festival for any reason, a full refund will be issued, excluding the registration fee.
Travel insurance is strongly recommended to protect you against unforeseen cancellations or trip interruptions.
Deposit and Tuition Refund Schedule:
Before April 5, 2025: Full refund of tuition payments (excluding registration fees).
As of April 15, 2025: A $100 processing fee will be deducted, along with any prepaid non-refundable expenses.
As of May 1, 2025: 50% of the tuition will be refundable, up to a maximum of $1,250.
As of June 1, 2025: No refunds will be issued. Due to the late date, all tuition fees will be forfeited. No exceptions.
Miscellaneous Costs Not Included in Festival Fees
Participants are responsible for the following expenses, which are not covered by Bay PianoFest fees:
Airfare, passport fees, and visa-related expenses (if applicable)
Personal gratuities
Laundry and dry cleaning
Optional excursions, alcoholic beverages, and any meals not specifically mentioned in festival materials
Travel insurance
Any other personal expenses
Mobility and Fitness to Travel
Bay PianoFest reserves the right to decline or dismiss any participant whose physical or mental condition may pose a risk to themselves or others. Participants requiring special assistance, such as wheelchair users, must be accompanied by an individual who is fully responsible for their care and support, at no cost to the festival.
Authority to Use Images and Recordings
By participating in Bay PianoFest, you grant permission for the festival to use photographic, video, and audio recordings of you in promotional materials, advertising, and documentation, without compensation or further approvals.
Responsibility and Liability
Bay PianoFest does not own or operate any external services related to travel, accommodations, or other logistical arrangements. The festival acts solely as an agent for independent service providers and is not liable for their actions, delays, or service failures. This includes, but is not limited to, issues such as flight delays, lost luggage, missed connections, accidents, or accommodation changes.
Festival participants assume full responsibility for checking visa, passport, and health-related travel requirements. Bay PianoFest shall not be held responsible for any unforeseen circumstances, including but not limited to, political unrest, natural disasters, airline bankruptcies, or personal emergencies that prevent participation.
For information regarding travel advisories, participants should refer to official sources such as the U.S. State Department or the Centers for Disease Control and Prevention (CDC).
By registering for Bay PianoFest and submitting payment, participants acknowledge and accept these terms and conditions.
